We’re delighted to welcome you as an exhibitor and do our utmost to accommodate to your needs. See below for the hospitality we offer during setup and dismantling of the stands, and during the congress. The rates include all services as specified.

Registration deadlines

  • 30 April 2016: early bird registration
  • 15 April 2016: end of bank transfer acceptance. (From 16 April 2016 onwards, only credit card payment can be accepted).

For every 4 exhibitors registered under the early bird rate, the exhibiting company will receive the 5th additional exhibitor registration free of charge.

Type of participants

*Accompanying persons: will receive a badge giving access to the exhibition and poster areas only. They have free access to the welcome reception but need to register.

Exhibitors who wish to invite an additional person only for the welcome reception or gala dinner can do so while registering for the events.

The registration fee includes

  • admission to the exhibition and poster areas
  • access to the welcome reception (registration obligatory)
  • congress materials
  • coffee breaks and lunches

Per booth one free day ticket/day is issued for access to the scientific sessions.

Registration procedure

Registration will only become effective on the date we receive your payment and not on the date of your registration. Registration will be confirmed by email including a link to download your invoice.
Near the congress you will be sent a confirmation letter asking you to print the letter which you will need to present at the registration desk upon arrival at the congress. There you will receive your personalised badge and entry tickets to the side events.


During the congress this badge must be clearly visible at any time on-site at the venue. Entrance to the exhibition areas and side events will only be permitted to persons wearing the congress badge or having the correct extra ticket. For security reasons you also always need to carry your ID-card/passport.

Note: In case of loss or damage, badges can be reprinted at the reception desk.
In case of loss, charges for reprinting a badge are € 41,32 (excl. 21% VAT).

Stand personnel during setup and dismantling of the stands

During set up & dismantling of the stands all personnel, stand attendants included, must wear the congress security wrist bands which are to be obtained in person at the congress registration desk or at the entry gate in Stuiverstraat, free of charge. These security wrist bands are only valid for the first two days of stand construction (11&12/6/2016). For dismantling, security wrist bands will be available at the reception from Thursday morning (16/6/2016) onwards and should be collected in person. Any personnel for stand construction arriving directly at the entry gate must be pre-registered by the exhibitor. Personnel who only will be present during construction and dismantling must also be registered by the exhibitor via the congress website. Personnel accompanying stand delivery material can obtain a security wrist band at the delivery entrance only if their name is listed and only on Saturday 11th and Sunday 12th June 2016. Otherwise they must report to the congress registration desk.

To register stand building/dismantling personnel, click here, then select ‘standbuilders’, download the excel sheet, complete the form and upload it using the button on the registration webpage. The deadline for registering standbuilding personnel is 31 May 2016.
The FELASA 2016 organisation offers free lunches during stand building on 11 and 12 June. The lunches need to be ordered on the form. Ordered lunches which are not collected will be invoiced at € 20,66 (excl. 21% VAT) per lunch.

Access to scientific sessions

One free day ticket for the scientific meetings is included for every registered exhibiting company.
Extra day tickets for the scientific meetings can be purchased on site at the registration desk. They cost € 100 (excl. 21% VAT) and can only be obtained on the day itself, as long as places remain available.

Terms and methods of payment

All invoice are payable to JuSt Services bvba ( All payment must be made in euros (€) free of charge for JuSt Services bvba.

  • Preferred method of payment: online payment by credit card. Transfer/transaction costs are 1,40 % and will be added to the total amount. You will be sent an invoice immediately after payment.
  • Alternative method: Bank transfers. Bank transfers can only be accepted until 15 April 2016. After that date only credit card payment can be accepted.
    You will be sent an invoice and should make the bank transfer within 15 days after registration to the following account:

    Any bank charges must be charged to the buyer.

Cancellation or transfer of registrations

In case of cancellation before the published early bird deadline, the payment will be refunded, minus a handling charge of € 100 (excl. 21% VAT).
In all other cases, no refund will be made.
Transfer of registration to another person is only possible after acceptance by the Organiser ( and after payment of an administration cost of € 41,32 (excl.21% VAT).
